Customer & Driver Qualifications

Customers must be at least 25 years old; possess a valid driver’s license (international is fine); provide proof of insurance coverage in writing; and present a major credit card in their own name, for payment of the rental charges. We cannot accept a credit card from a third party; over the phone; or from a photocopy. The card must be in the customer’s name and physically present.

You can have up to 2 additional drivers, at no additional cost. Additional drivers must be present at the time of departure; be at least 25 years old; present their driver’s license; provide proof of insurance; and sign the rental contract. Fax signatures or photocopies are not acceptable.

Deposits

There is a $1500 deposit for Class A motorhomes, a $1000 deposit for Class C motorhomes, a $500 deposit for travel trailers, and a $300 deposit for pop up campers. Deposits are required when you make your reservation. Entire estimated rental fees due at or before departure. Rental deposits are separate from the estimated rental charges.

Payments

We accept ONLY credit cards at the time of rental. Master Card, Visa, American Express or Discover credit cards only; we DO NOT accept checks of any type at the time of vehicle pick-up. If you want to pay with a check, we would need to receive your payment a minimum of 10 business days prior to departure for your payment to clear the bank.

Cancellation Policy

Most reservations can be canceled up to 30 days prior to their departure date and receive a full refund of their down-payment less the $95 administration fee for Motorhomes or $50 for Trailers. From Day 29 to day 14, you may receive 50% of money paid less the cancellation processing fees listed above. 13 days or less there are NO REFUNDS, and all money paid is forfeited. Consider purchasing Trip Cancellation Coverage.

NO refunds for Special Events such as NASCAR, Bonnaroo, or Holiday Weekends. The full rental amount will be due, and your estimated rental will be charged to the credit card provided at the time of booking.

Booking Changes

For non-special event rentals, one free booking change can be made up to 21 days prior to pick up if available. Bookings will be revised to the rate and/or discount level applicable at the time of season for the vehicle type selected. Booking changes must be used within a six months’ period, otherwise see cancellation policy above.

Vehicle Substitution

If for any reason the booked RV should not be available, Lightning RV reserves the right to substitute a higher-rated RV at no additional cost. Should a lower-rated RV be substituted, the liability is limited to the refund of the gross rate difference of the two vehicles.

Lightnin RV reserves the right to cancel the reservation at any time due to Acts of God; extreme unsafe weather conditions; if it is determined that the vehicle will be used in unsafe conditions or for illegal purposes; or if the Customer arrives at the time of departure in a condition that is determined by Lightnin RV or its employees, that the Customer cannot safely operate the vehicle.

No Refunds for Unused Portion

No refund will be given in the following cases:

  • Early return of rental vehicle.
  • Client arrives late to pick up the RV or does not show up at all

Pets:

  • Yes, you can bring a small well behaved Dog for an additional fee. Sorry we do not allow cats.

Smoking:

  • Smoking is not allowed in any RV. A minimum fee of US$250.00 for cleaning/deodorizing applies. This includes but limited to cigarettes, cigars, e-cigarettes and camp fire smoke.

Roof Access Denied.

No one is allowed on the roof of any Lightnin RV vehicle. Ladders are for Lightnin RV personnel to access the roof to perform service. Customers are responsible for all roof damage and cleaning.

Your Responsibilities while Operating the RV

Gasoline and Oil

The cost of gasoline is not included and Lightnin RV Rentals does not assume responsibility for estimates of consumption. All vehicles are delivered with full tanks and the customer is expected to return the RV with full tanks or will be charged for the refueling plus a service fee. Refueling costs are at $5.00 per gallon.

Maintenance

The customer is responsible for checking engine oil and coolant levels at each refueling stop as well as reporting mechanical failures immediately. Coolant refills and authorized repairs will be reimbursed upon return of the RV with presentation of all receipts (see Mechanical Breakdown). You are responsible to check tire air pressures daily. It is the driver’s responsibility to operate the RV in a safe manner and to exercise all caution possible

Mechanical Breakdown/Repairs

For repairs exceeding US$ 75.00 the customer must call the Lightnin RV Rentals 24-hour toll free telephone to obtain proper authorization. Non-authorized repairs exceeding $75.00 will not be reimbursed. Receipts must be presented to Lightnin RV for reimbursement. Customer will be held responsible for mechanical damage due to negligence in operation and/or maintenance. Customers are required to cooperate fully with Lightnin RV Rentals to remedy any problem.

If Renter’s motor home vacation is interrupted by an automotive mechanical breakdown for more than 12 working hours after reporting such to Lightnin RV, the Renter will be reimbursed for the greater of: (i) the gross daily rate or: (ii) expenses for hotel rooms up to US$25.00 per person per night and car rental up to US$50.00 per day per motor home to a maximum of US$1,500.00 per tour. Receipts for all incurred expenses must be presented for refund.

Defects on Radio / CD / TV / DVD / GPS, generator, air conditioning, refrigerator, microwave, cruise control, awning, slide-out malfunction, etc. are not considered to be mechanical breakdowns and excluded from refunds. No exceptions.

Roadside Assistance

National Roadside Assistance is provided with all Motorhome rentals through Ford. We have an 800-number to call for the following services: Flat tire change, jump start, bring you up to five gallons of gas if you run out, lock-out service (on Class C motorhomes only), and will tow any motorhome to the closest Ford Dealer offering RV chassis service. Roadside Assistance does NOT apply to travel trailers. Trailers have a spare but no jack. Trailer customers are responsible for tire changes and tire damage.

Additionally, you will have an 800-number for our Lightnin RV Rentals for operational questions. Remember, you will also have a manufacturer’s owner’s manual as well at the trouble-shooting guide that can answer most operational questions.

Insurance

Lightnin RV carries no insurance for renters on the RV. Renters may either provide insurance for the RV through their own auto insurance policy or purchase a Collision Damage Waiver. Collision Damage Waiver is secondary coverage on the RV and customer’s insurance is primary.

  1. Collision Damage Waivers range from $20 to $39.95 per day depending on vehicle. CDW is a $1000 deductible per accident NOT per rental

In the Event of an Accident

First contact local emergency services if medical attention is needed. The customer must obtain a local police report as provided by the attending police officer investigating the accident. An accident report form is supplied to the customer and is located in the RV along with the registration and insurance papers.

Lightnin RV Rentals must be notified as soon as possible. A full-written report along with the other party’s name, address, phone number, insurance information and driver’s license number on the supplied accident report form will be required upon return of the RV. Damage and accident scene pictures should be taken and provided if at all possible.

All documents relating to the accident must include a police report number or identifying number.

Insurance coverage may be void if the above instructions are not followed.

Responsibility of Damage and Loss

  1. You are responsible for all damage to vehicle (regardless of Fault).
  2. Loss of use of the vehicle while it is being repaired.
  3. Diminution of the vehicle’s value caused by damage to it or repair of it (Not covered by insurance). The Diminution in value charge is at least 2% the value of the motor home.
  4. All damage or loss caused by blowout, punctures or other road damage, unless the damage is caused by a “loss” that is collision on comprehensive.
  5. Missing equipment.
  6. Our administrative fees connected with any damage claims, regardless whether you are at fault or not. Ranges from to $0-$250 based on amount of damage.
  7. Theft and Vandalism.
  8. You must report all accidents and/or damage within 6 hours of the occurrence. You agree to pay these charges from credit sources listed in your contract, and assume all responsibility to submit accident reports and claims to the proper authorities.

Damage Waiver

If you purchase CDW, we waive our right to collect from you a portion of Physical Damage to the Vehicle. We will not waive this right if damage to the Vehicle: (a) is caused by anyone who is not an Authorized Driver; (b) is caused by a Vehicle driver under the influence of any drug or alcohol; (c) is caused by anyone who obtained use of the Vehicle or extended the rental period by giving us false, fraudulent or misleading information; (d) occurs while the Vehicle is used during the commission of any crime, other than a minor traffic violation; (e) occurs while carrying persons or property for hire, while pushing or towing anything, during any race, speed test or contest, or, while teaching anyone to drive; (f) results from carrying dangerous or hazardous items or illegal materiel; (g) results from use of the Vehicle outside the United States or Canada, our outside any geographic limitations stated elsewhere in this agreement; (g1) is caused by driving on unpaved roads; (h) occurs while transporting more person than the Vehicle has seat belts, while carrying persons outside the passenger compartment, or while transporting children without approved child safety seats as required by law; (i) occurs when the odometer has been tampered with or disconnected; (j) occurs when the Vehicle s fluid levels are low, or it is otherwise reasonable to expect you to know that further operation would damage the Vehicle; (k) is caused by inadequately secured cargo; (l) is caused, by anyone who sits, lies or stands on the roof of the Vehicle; (n) results from your willful, wanton or reckless act or misconduct; and, (m) occurs and you fail to notify us and the police of any accident or vandalism causing damage to the Vehicle. The CDW limit applies to EACH accident separately not cumulatively.

Parking/Traffic Violations

It is the client’s responsibility to report and pay for all parking/traffic violations at check-in. Failing to report these violations at drop off will cause a charge of an administrative fee plus the fine (including all late charges) to the client’s credit card. Toll violations are the toll amount plus a $15.00 admin fee.

Vehicle Return

  • Drop off Time: Between 9:00 AM and 10:30 AM weekdays. After 11:30 am hourly late fees begin.
  • Charges for late RV return or unauthorized extension of the rental period: US $300.00 per day (plus applicable rental charges). The regular rental rates apply only with proper authorization through Lightnin RV Rentals prior to a rental extension.
  • The clients are advised to return the RV with the interior cleaned and holding tanks dumped to avoid any cleaning/dumping charges.
  • Generator use will be charged at $4.00 per hour plus local tax
  • Additional miles will be charged at $0.39 per mile plus local tax

Places Customers Cannot Take Our Vehicles

Our vehicles are not allowed in Mexico or Alaska. Restrictions on Death Valley, CA. between May 1 and October 1 of any year; and the five (5) boroughs that make up New York City, NY. (except to drive through on I-95).  Violations void CDW.  Please do not put yourself at risk for liability or civil actions.

Vehicles not allowed on Private-, gravel-, dirt- or logging roads and other non-public roads, beaches, etc. or ‘Apache Trail in AZ’

Lightnin RV Rentals will hold the customer fully responsible for accidents or mechanical breakdowns occurring in a travel restricted area. Damage Waiver will be void in case of violation.
